Customers — why store their data

Keeping a Customer database lets you store and view in one place all the records related to a specific Customer: Cases, Contracts, Notices of protection, Service acceptance acts and other documents.

Storing Customer data also lets you use it to generate documents automatically. This saves you from filling in the same Customer details by hand every time you create Contracts, Notices of protection and Service acceptance acts.

Plans:
Keeping a Customer database is available on the "Extended" and "PRO" plans.
Important:
Before saving a Customer's data you must obtain their consent to the collection, storage and processing of personal data in accordance with the Law of the Republic of Kazakhstan "On Personal Data and Their Protection".
Data security
The phone number, email, IIN (BIN), address and the full name in the dative case are stored in the system in encrypted form. We take the necessary technical and organizational measures to protect the data. The data is not shared with third parties; only the members of your account have access to it.

Types of Customers

The system has two types of Customers:

  • Individual;
  • Company (legal entity).

Customer information (Individual)

A Customer (individual) card stores the following data:

  • Name (required)
    Format: Last name, first name, patronymic (for example, Ivanov Ivan Ivanovich).
    Purpose: used to fill in the Contract and the Service acceptance act, and to find the Customer in the list.
  • Dative name
    Format: the name in the dative case ("to whom?").
    Purpose: used to fill in the Notice of protection.
    Note: if the field is empty, the value of the "Name" field is used.
  • Phone number
    Purpose: filled into the Contract and the act. If specified, it must be unique within your account.
  • Email
    Purpose: filled into the Contract and the act.
  • IIN (required)
    Format: exactly 12 digits, unique within your account.
    Purpose: filled into the Contract and the act.
  • Address
    Purpose: filled into the Contract and the act.
  • Notes
    Purpose: storing additional information about the Customer that only you can see.

Customer information (Company)

A Customer (company) card stores the following data:

  • Company name (required)
    Format: legal form and name (for example, LLP "Company").
    Purpose: used to fill in the Contract and the act, and to find the Customer in the list.
  • In the person of
    Format: the position, full name and the basis of authority (for example, of Director Ivanov I.I., acting on the basis of the Charter), and in brackets the position and short name: (Director, Ivanov I.I.).
    Purpose: used to fill in the Contract.
    Note: fill it in if you plan to generate a Contract with this Customer.
  • Phone number
    Purpose: filled into the Contract and the act. If specified, it must be unique within your account.
  • Email
    Purpose: filled into the Contract and the act.
  • BIN (required)
    Format: exactly 12 digits, unique within your account.
    Purpose: filled into the Contract and the act.
  • Address
    Purpose: filled into the Contract and the act.
  • Notes
    Purpose: storing additional information that only you can see.
